PermitDesk

One record for every permit, license, inspection and case

PermitDesk helps city and town staff and the people who apply to them run permits, plan review, inspections, licensing, planning, code cases, fees and reports on one record. Residents and contractors apply online, upload plans, pay fees, request inspections and check status without a trip to the counter.

Use one record for each parcel and project. Staff see the next step. Applicants see the same next step in plain words.

What you get

Permits, plan review, inspections and more on one record

Each part works on the same record. You do not retype the parcel, the contact or the fee.

Permit applications

Take building, trade, right-of-way, fire and health applications online or at the counter, from draft to issued permit. Staff check required fields, contacts and documents before the record enters review.

See permits and plan review

Plan review

Collect discipline comments and markups on uploaded plans, compare versions and send one consolidated letter. A comment stays open until a reviewer checks the revision or waives it with a reason.

Inspections and field work

Schedule, assign and record inspections on a phone in the field, with checklists, photos, signatures, results and reinspections. Work saved offline shows a queued state and syncs in order when coverage returns.

Business and contractor licensing

Manage business, rental, contractor and other license applications, expirations, renewals, holds and compliance. One licensee profile links to every license and project under that business or person.

See licensing, planning and code cases

Planning and zoning cases

Manage land use, variance, conditional use and subdivision cases through routing, hearings, decisions and conditions. Conditions stay on the case and carry to later permits on the same parcel until met or waived.

See licensing, planning and code cases

Code enforcement cases

Track complaints, investigations, violations, notices, citations and compliance from intake to closure. Anonymous complaints store no personal detail about the complainant.

Calculate fees from the town schedule, invoice the applicant, record online and counter payments, refunds and daily totals. Card numbers are handled only by the town processor.

See the portal and payments

Applicant portal

Give residents, contractors and business owners one signed-in place to apply, upload, pay, request inspections, message staff and track status. Email must be verified before an application can be submitted.

Dashboards, reports and exports

Show each role the work due today and show leaders volume, turnaround, revenue and backlog. Every number links to the records behind it and shows its period, filters and definition.

How a record moves

From application to closure in six steps

The same steps for staff and applicants. Each step shows the next action in plain words.

  1. Apply

Choose a permit type by plain description, read required documents and fees, add parcels and contacts, complete project details and certify. Save and resume at any step.

  2. Review

Staff route the record to each department with a due date. Reviewers work at the same time, add comments and markups, and collect into one letter. Parallel steps run together and sequential steps wait for the prior step.

  3. Pay

Fees calculate from the schedule in effect on the submission date. See each fee line, the total and the balance due. Pay online through the town processor or at the counter and keep the receipt number.

  4. Inspect

Request an inspection for an eligible permit, confirm a date and window, and assign an inspector. Record pass, fail or not applicable per checklist item, add photos and a signature, then submit or queue for sync.

  5. Decide

Review tasks, fees, conditions and prerequisites. Approve, deny or issue the permit and tell the applicant what to do next. A permit cannot be issued until required reviews are approved, conditions are recorded and fees are paid or waived.

  6. Close

File the issued permit, decision and final documents to the record with record number, parcel and type. Keep the full history readable so permit history stays viewable by parcel.

  • Every status change writes a history entry and tells the applicant what to do next
  • Only portal-visible statuses and fields appear in public search. Internal notes never appear
  • Town GIS data stays the authority for parcel, owner and zoning facts. PermitDesk reads it and does not overwrite it
  • A record number is assigned once at submission and is never reused
Who uses it

One queue for each job

People see only the work assigned to their role. Each queue shows due dates with overdue items first. Portal accounts are separate from staff sign-in. A portal account never grants staff access.

Permit technicians

Check intake, route records and keep applicants moving through each step.

Plan reviewers

Comment on plan sets by discipline and resolve corrections by version.

Building inspectors

Work today inspections on a phone, record checklists and photos, and sync results.

Code enforcement officers

Investigate complaints, add violations with code sections and deadlines, and follow up in the field.

Planners

Route planning cases, track hearings and record decisions with conditions and appeal dates.

Department heads

See queues by role, balance work and read volume, turnaround and backlog.

Contractors

See all projects for a business in one dashboard, upload documents, pay fees and request inspections.

Residents

Apply, upload plans, pay fees, message staff and check status at any hour.

Facts for procurement and IT

Hosted in the United States. The town owns its data.

PermitDesk is built and hosted by Majic Holdings, a sister company of Green Communications Contracting LLC. Data stays in the United States. The town owns every record.

  • Staff can export all records at any time as spreadsheet files and documents as files
  • Permit history stays viewable by parcel throughout
  • Roles keep staff, applicants and the public in separate lanes, each seeing only what that role allows
  • Every view of personal information, change, approval and payment is logged with user and time
  • Anonymous complaints store no personal detail about the complainant
  • Staff set permit types, fees, workflows and checklists for the town themselves

Ask for the security and accessibility details in writing during the demo. The security page and accessibility page state the controls, the review path and how to report a barrier.

One record shows status, history, fees and the next step for the parcel.
