Reports and setup

Run reports and change forms, fees and workflows yourself

Role dashboards show the work due today. Leaders see volume, turnaround, revenue and backlog for a chosen period, with every number linking to the records behind it. Town staff set types, fees, checklists, templates and queues, with a first-run checklist before go-live.

Role dashboards and leader numbers with drill-down

My work shows open reviews, inspections and cases assigned to me, due dates, days waiting and items past target. Department and leader views show queues by step, workload by person and counts by type.

My work

See tasks assigned to me sorted with overdue first, then due today, with record, step and due date. Reassign a task with a reason and the change is logged.

Leader dashboard

See applications received, permits issued, average and median days to issue, inspections completed, code cases and fees collected for a chosen period. Each number shows its period, filters and definition, and opens the same records used to count it.

Today and calendar

See todays inspections, hearings, expiring licenses and invoices due by day, week or month. Overdue items sort first so nothing waits unseen.

Standard and saved reports with CSV and Excel export

Run a standard report for volume, processing time, revenue, inspections, license expirations or code aging, then download it. Save the filters and columns you use most and rerun them.

  • A report can only use record types and fields the runner role can view. The server checks again on every run.
  • Every run records parameters, row count, user and time. The result shows those parameters at the top.
  • Exports state the row limit, filters and date in the file and are logged with user and time.
  • Full export is available at any time at no cost and includes a data dictionary. Deletion after the final export is confirmed in writing.
  • Never include sign-in secrets, vault items or private notes in an export. Personal details are masked when a report is marked for public release.

Each card counts records the signed-in role can view, using the same filters as the list it opens.

Setup checklist and town configuration

Finish town profile, departments, users, first permit type, fees, workflow, templates, portal text and a test record before publishing. Record type editor sets name, category, portal alias, duration target, required documents, fee schedule, workflow and custom fields.

  1. Build the type once

Copy a similar type, set fields and documents, add fees, build workflow steps, test a record and publish it. Each item on the checklist links directly to the screen that completes it.

  2. Set queues and reminders

Route each record to the right department and person, show due dates and reminders, and move work forward, back or to a branch with a logged status. Reminders go to the assignee before the due date and to the supervisor after it passes.

  3. Preview before publishing

Preview letters, notices and standard comments on a test record and publish them. Portal changes show a preview before publishing.

  • A town cannot publish the portal until at least one type, one workflow, one fee schedule and one notification template are active.
  • Changing a type, fee or workflow applies to new records. Records already submitted keep the version they started with.
  • Retiring a type, fee or template keeps it readable on old records and stops new use only.
  • Every configuration change is logged with user and time and needs an administrator role.

Audit history for every change

Every view of personal data, change, approval, payment and configuration change is logged with user and time. Staff queues, reports, exports and setup changes are readable in the audit history for the town to answer questions and roll back mistakes.

  • Status history is append only. Corrections create a new history entry that points to the entry corrected, with reason and editor.
  • Internal notes are separate from applicant messages and never appear in the portal.
  • Parallel discipline reviews run at the same time. Sequential steps wait for the prior step.
  • Only statuses marked applicant-visible appear in the portal, with a plain next-step message.
