Upload plans and documents
Follow numbered steps to check the required document list, upload each file with a description and confirm it was received. Each file stays on the same record, with its version history.
Before you start
Label each file correctly, reviewers can only work from what is labelled.
- The required list for your record type, the screen shows required and optional items before you upload
- Accepted file types and size limits shown on the upload step, use a file type the town accepts
- A short description for each file, what it is and which sheet or item it covers
- Files saved where you can find them, with clear names that match the description
Do not add card numbers, passwords or other private details in a file name or description. Uploaded drafts and private notes never appear in public search.
Steps
Work one document at a time until the list shows it as received.
1. Open the record
Sign in, open the record from your home page, and go to the documents step or the documents tab on the record.
2. Choose the document type
Pick the required document type for the file from the list. Choosing the type first puts the file in the right place for reviewers and keeps versions together.
3. Upload
Choose the file and upload it. Wait for the confirmation on the screen before you move to the next file.
4. Add a description
Add a short description that says what the file shows. For plans, name the sheet where you can. The description is required before the file counts as submitted.
5. Confirm
Check that the list now shows the file as received, with its name and date. If a item still shows as missing, repeat the steps for that item.
What happens next
Reviewers work from the received list, not from email attachments.
Received status
The record shows required, received and missing items. Staff check the same list at intake.
Reviewer access
Plan reviewers open the current version. Earlier versions stay readable and are never overwritten.
Revisions
When corrections are requested, upload a revised file to the same record so reviewers see the change history, not a new application.
If the upload fails
Most failures are file checks, check them in this order.
Check the file type against the types the screen lists, check the size against the limit shown, and check the file name for characters the system rejects. Save the file again with a plain name, such as site-plan.pdf, and try the upload again. If the file is protected or locked, save an unlocked copy and upload that one. If it still fails, note the exact message on the screen and contact the town office with the record number and document type, do not send the file by email unless staff ask for it.
