Guide for applicants

Respond to a correction letter

Read the one consolidated letter for your record, upload a revised file for each comment and resubmit. You stay on the same record and keep the same record number.

Before you start

Have these ready so you can finish in one sitting. This guide is for a resident or contractor who has a submitted record.

  • Your record number, from the confirmation email after you submitted
  • The consolidated letter, with all department comments in one list
  • Revised files, named clearly and saved where you can find them
  • Sign-in to the portal account linked to the record, or the secure link staff sent for this record

Note: A saved draft is not a submitted record. You need a submitted record to receive a correction letter.

Steps

Use the exact section names on your record. Do the steps in this order.

  1. Open the record

Sign in and open My records. Choose the record by its record number. Open Documents and read the latest consolidated letter first.

  2. Read each comment

Check the discipline, sheet and location for each comment. Read what change is asked for and the date the response is due.

  3. Upload a revision

Choose the document type that matches the comment. Upload the revised file as a new version. Do not start a new application for the same work.

  4. Note what changed

Add a short note for each comment. Say what changed, on which sheet or page, and how it answers the comment.

  5. Resubmit

Open Review and confirm every comment is answered, or explain why an item cannot be done yet. Choose Submit for re-review and save the confirmation.

What happens next

Re-review goes back to the same disciplines that commented, so they can verify their own items.

  • Each reviewer marks a comment as verified, kept open or waived with a reason
  • If comments remain, you receive one new consolidated letter, not separate department letters
  • The record status and next step change on your record, and a notice is sent by email
  • Earlier plan versions stay readable on the record for reference

If a comment is unclear

Ask on the record, so the answer stays with the comment and other reviewers can see it.

Open the Messages section on the same record and reply in the same thread. Quote the comment number and sheet, and ask the exact question you need answered.

Do not start a new application and do not upload a revision to a new record. A new record would not be linked to the comment.

Can I reply to only some comments now

Yes. Upload what you have, note what changed, and say in your resubmittal note which comments remain. The record stays in corrections until all comments are verified or waived.

What if a file is the wrong type

Choose the document type before you upload. The portal lists the accepted types and sizes for your record type. If an upload is rejected, the screen states the reason and nothing is submitted.
