Record an inspection in the field
Open todays assigned inspections on a phone, work the checklist item by item, add photos and a signature, and sync the result to the permit.
Before you start
Check these before you leave the office. This guide is for an inspector or code officer on site.
- Todays assigned inspections, in route order, with time windows
- Phone charged, signed in, and the assigned work loaded for offline reading
- The permit, parcel, approved plans and history for each stop
- Camera ready for photos and a way to capture a signature
Note: Only inspections assigned to you, or to your queue, can be recorded by you. If an inspection is not in your list, check with dispatch before you start.
Steps
Work one inspection at a time on the phone. The screen names match the office screen.
Open the inspection
Open My day and choose the inspection by address, parcel and time window. Open the permit and checklist for that inspection type.
Work each checklist item
Record pass, fail or not applicable for each item. A required item cannot be left blank.
Add photos and comments
Add a photo where the checklist asks for one. Add a comment for every failed item. Add violations with the code reference where you found a problem.
Sign
Capture the signature on the result. Check the overall result before you sign, because a final result cannot pass while a required item is marked fail.
Submit or queue for sync
Choose Submit when you have coverage. If coverage is poor, the result is saved on the device as queued. It syncs in order when coverage returns.
What happens next
The office sees the same record after sync, with no retyping.
- The result posts to the permit and to the parcel history
- The applicant receives a notice with the result and what to fix, if anything failed
- A failed inspection creates a reinspection path for the failed items only
- Photos, comments and the signature stay linked to the checklist item they belong to
If coverage drops
Queued work is saved on the device and syncs later. You do not need to recreate it.
A queued result stays on the inspection with a queued state until the server confirms receipt. Check the sync state on the inspection before you start the next stop.
If a result shows a conflict after sync, the screen flags it for staff review. Do not overwrite the office record. A supervisor resolves the conflict and the decision is logged.
How do I know a result synced
The inspection changes from queued to synced, and the sync time is recorded on the record. The office view shows the same time.
Can I edit a result after sync
No. After sync, a correction needs a new audit entry and a reason, so the history stays clear.
