Pay a fee and get a receipt

Follow numbered steps to open an invoice, check each fee line, pay online or at the counter, and save your receipt. Card numbers are handled only by the town payment processor, PermitDesk stores the processor reference and receipt only.

Before you start

Fees calculate from the schedule in effect on the submission date. Check the lines before you pay, you will not be charged a fee that is not on the invoice.

  • The invoice number or the record number for the fee, both appear on the record and the notice
  • A payment method the town accepts online, or cash or check details for a counter payment
  • Where you will save the receipt, the receipt number appears on screen and by email after payment

Steps

Submit payment once, save the receipt, and check the balance before you leave the screen.

  1. 1. Open the invoice

Sign in, open the record, and open the invoice or fees tab. The invoice shows the record number, due date, total and balance due.

  2. 2. Check the fee lines

Read each fee line and its calculation basis. The total on the screen is the amount due. If a line looks wrong, contact staff before you pay, staff adjust fees only with a logged reason.

  3. 3. Pay

Pay by card through the town payment processor online, or pay at the counter where staff record cash, check or card against the same invoice. Enter card details only on the processor page, never in a message or on the record.

  4. 4. Save the receipt

Save the receipt number shown on screen, download or print the receipt where the screen offers it, and keep the email copy. The invoice balance updates on the record after payment posts.

What happens next

Payment updates the record and the next step.

Updated balance

The invoice shows paid, partially paid or paid in full. A record that needs payment cannot be issued until its balance is paid or waived by an authorized role.

Status and next step

The record status and the applicant next step update after payment. Staff see the payment, method and receipt on the record.

Counter payments

Cash and check recorded at the counter use the same invoice and receipt flow as online payment, so the balance matches in both places.

If the payment fails

Check these before you try a different card.

Check that the amount matches the balance shown, check the card details on the processor page, and check that the card is accepted by the town processor. Submit only once, a second submit can create a duplicate attempt. If the processor reports a decline, try a different accepted method or pay at the counter and ask staff to record it against the same invoice. Keep the exact message you saw and the time, contact the town office with the invoice number, and do not share card numbers when you ask for help. Refunds and waivers need a reason and an audit entry, and stay linked to the original payment.
